FAIR PLANNING MEETING

Clinton Lions Club Agricultural Fair

Fair Planning Meeting

Held on December 2, 2009

The following matters were discussed:

Many of the agricultural fairs in our state have a much larger fair booklet than we do.

Even the small Harmony Free Fair has one that is larger than ours, and this is due to a

considerable amount of advertising that appears in the book. Lion Shawn would like to

pursue the possibility of having advertising in our booklet. Lion Jay will contact

someone from the Harmony Fair to get information on how much they charge for an ad.

The ads would not duplicate any ads that we typically get for the Morning Sentinel. They

would come from such entities as a ribbon company, a bank:, Pepsi, etc.

The report on the fair of 2009 was reviewed and discussed. We received a rating of 2

out of a possible 4. There were many positive comments, but of course attention needs to

be given to the matters that were not favorable. One of the comments was regarding the

fire extinguisher in the pavilion. It was observed early in the day with a piece of lattice

leaning in front of it. It was observed late in the day with a sign now hanging on the

lattice with the list of winners of bicycles, and the fire extinguisher was now totally

obscure. Other matters included events not starting on time, power cords throughout the

grounds that were not covered with mats to allow for wheelchairs to roll over them, and a

lack of exit signs in all buildings.

Discussion on the future of the diner is still in the early stage. The first thing that

needs to be accomplished is to get the word out to all members of the club to see if there

is anyone interested in supervising the diner. A suggestion was made that possibly some

organization, local or otherwise, would be interested in renting the space. The profit

from the diner in 2009 was $4200 and it was $4700 in the prior year. It would be

beneficial for it to continue to be the Lion's Diner, because it cannot be rented for that

amount of money or anything close to it. If you are reading this and have some inkling

that you might be interested, contact Lion Coleen or Lion Shawn for information.

There are currently 50 some camping spots, and someone asked if there are any plans

to increase that amount. Lion Maurice Scribner said he is going to be looking into adding

some power for an additional dozen, or so, lots.

Fair passes (car sticker vs. day pass or worker's pass) was again discussed.

Woodsman's Day participants, dance studio performers, Karate performers, and the like

would only be given passes of a particular color for a particular day as opposed to a

sticker for their car for the entire four days.

The ordering of trophies and ribbons was again discussed. Lion Shawn will be

contacting all of those who order trophies and ribbons so that a complete list of each can

be compiled and sent out for bids.

Discussions and decisions about all fair issues are made at these meetings. There is no

named Fair Planning Committee. If you show up, you are a part of the process, and all

members of the club are urged to participate and allow your voice to be heard!

Please attend our meeting on 1-20-2010 if you are available. We will be discussing

entertainment for the 2010 fair.  The next planning meeting after that will be on 2-17-2010.

 Thanks
